# Managing prompts

> Add, organize, and manage the AI search prompts that Topify.ai tracks for your brand.

This page covers day-to-day operations on the **Tracking > Prompts** screen: adding custom prompts, working through suggestions, and assigning topics. For background on what a prompt is and the active/suggested/inactive states, see [Understanding prompts](/guides/understanding-prompts).

## Adding prompts

### Custom

1. Click **Add prompt** on the active prompts tab.
2. Enter your prompt text (10--2,000 characters). This should be a natural question someone might ask an AI assistant.
3. Select a **location** (country) for localized responses.
4. Assign the prompt to a **topic** for organization.

  The number of active prompts you can have depends on your plan. See [Billing and plans](/platform/billing-and-plans) for limits.

**Good prompts** are specific questions your target audience would ask:

* "What are the best project management tools for remote teams?"
* "Which CRM software is best for small businesses?"
* "How do I choose a cloud hosting provider?"

### From research

If your project has imported research output from prompt discovery, you can promote those prompts to active here. This saves time compared to manually adding them one by one.

## Prompt actions

| Action      | What it does                                       |
| ----------- | -------------------------------------------------- |
| **Track**   | Move a suggested prompt to active tracking         |
| **Reject**  | Dismiss a suggested prompt                         |
| **Untrack** | Stop tracking an active prompt (moves to inactive) |

You can also perform **batch operations** to track or untrack multiple prompts at once.

## Prompt detail view

Click on any active prompt to see its detailed analytics:

* **Per-provider metrics** -- how your brand performs on each AI provider for this specific prompt
* **Domains** -- which websites are cited in responses to this prompt
* **URLs** -- specific pages cited as sources
* **AI responses** -- the actual AI-generated responses collected

From the domains view, you can drill down further into a specific domain to see all the URLs from that domain and the responses that cited them.

## Organizing with topics

Topics group related prompts together. This helps you:

* See aggregated metrics per topic on the overview dashboard
* Filter and find prompts more easily
* Understand which categories of questions perform best

You can create, rename, and reorganize topics from the topics management page.
